Moving from Excel to gym management software: Step-by-step guide
Excel is a fine start for a gym, but as membership grows, sessions left, end dates and balances spread across tabs and mistakes multiply. Moving the existing list is the part people fear most; it can be done in an afternoon.
Updated: November 1, 2026 · 3 min read1. Prepare the file
Put column headings in the first row: Full name, Phone, Package, Start date, End date, Sessions left and Debt. One member per row, no merged cells or subtotal rows, and the same date format throughout.
2. Use the sample template
In MAVI PANO, “Import from Excel” on the member screen offers a sample template to download. Copying your columns into it helps but is not required.
3. Upload and match columns
Choose an .xlsx or .csv file and columns are matched automatically; common alternatives such as “Tel” or “Membership type” are recognised. The file is read in your browser and never uploaded or stored.
4. Check the preview
Before confirming you see how many members will be added, which rows will be skipped and which have missing data. People already in the panel or listed twice are skipped, and going over your plan limit is shown before you confirm.
5. Run both for the first week
Check a few profiles, record the first week’s attendance and payments in the software and keep Excel open only for comparison. Members, payments and expenses can be exported back to Excel at any time.
