Reformer package tracking: How to track remaining sessions
Reformer classes are usually sold in 8, 12 or 16 session packages. Selling the package is easy; knowing every day how many sessions each member has left, when the package ends and what happens to unused sessions is the hard part.
Updated: November 1, 2026 · 3 min readThe 4 most common mistakes
Almost every dispute about remaining sessions comes from the same few mistakes.
- Recording attendance from memory at the end of the day
- Keeping sessions in one place and payments in another
- Ignoring the package end date
- Having no written cancellation rule
Track two counters: sessions and date
A package has two limits: number of sessions and duration. In MAVI PANO you enter both when assigning a package; the member list shows “8 / 12 this month” next to the end date, and marking “Attended” deducts one session.

Record attendance during the class
Marking “Attended” or “Absent” on a phone takes seconds and prevents disputes. Leaving no-shows blank means nobody will remember later.
Unused sessions: carry over or expire?
Either rule works if it is stated at the time of sale. Carried-over sessions should be shown separately; MAVI PANO shows them as “this month + carried over”.
Write your cancellation rule
A common rule: cancellations at least 12 hours before class keep the session; later cancellations and no-shows use it. Recording cancellations and no-shows separately lets you show the history if a member disagrees.
Freezes and renewals
Freezing a membership moves the end date forward by the frozen days. For renewals, talk to members with two or three sessions left; the “Follow-ups” list shows members with two or fewer sessions left or a package ending within 7 days, with a ready WhatsApp message.
Clear, concise answers.
How are remaining reformer sessions calculated?
Sessions marked “Attended” and late cancellations under your rule are deducted from the package total, automatically when attendance is recorded.
Do unused sessions carry over?
That depends on your studio’s rule; carried-over sessions should be shown separately.
Can I see packages that are about to end?
Yes. The “Follow-ups” list shows members with a package ending within 7 days or two or fewer sessions left.
