How to manage gym membership freezes
Every gym gets freeze requests: an injury, a two-week holiday, a business trip or pregnancy. Without a clear rule each request becomes a negotiation; without a clean record the end date is calculated wrong.

State the freeze rule when selling the membership. Most gyms answer four questions.
- Maximum freeze days per year
- Minimum freeze length
- Accepted reasons
- How much notice is needed
How a freeze changes the end date
The package end date moves forward by the number of frozen days. In MAVI PANO a freeze is saved with start and end dates and the new end date is calculated and shown automatically.
Planned classes during the freeze
Classes planned during the freeze should be cancelled so they do not hold a group spot or count as no-shows. MAVI PANO cancels them when the freeze is saved and tells you how many were cancelled.
Early return and cancellation
If the member returns early, end the freeze today and the unused days are removed from the end date. Cancelled classes are added back if there is still room.
Preventing misuse
Keep the date and reason of every freeze. Inactive memberships cannot be frozen and a freeze cannot start before the membership start date.
